- This notice covers information you submit in forms at the website, www.massivestars2020.ie, for IAU Symposium 361: Massive Stars Near and Far and associated activities. It also covers supplementary information you may provide to the organisers by other means in relation the IAU Symposium.
- This notice should be read in conjunction with the Cookie notice for the Symposium Website, which is hosted by the Dublin Institute for Advanced Studies.
- Your personal data will be processed by members of the Local and Scientific Organising Committees, whose names you can find on the IAUS361 website, for effective administration of the Summer School, the Symposium and associated activities, and the Symposium Proceedings only.
- Your name, institutional affiliation, contribution title and abstract will be published on the Symposium website, in the Programme and the List of Participants. You will also be invited to publish your contribution in the Symposium Proceedings. Other data you submit on the registration and abstract submission form will not be made public.
- We will not use your personal data for any purpose other than the effective administration of the Symposium and associated activities, as outlined above, without your prior consent.
- Your data will be stored electronically on secure servers, not accessible to the public, and in printed form for use by the Organising Committee only in accordance with our policies.
- We will not pass on your personal data to third parties except to those working for us under contract. This will be for cross-matching registration payments and hotel bookings with Symposium participants by name, and for the purposes of publishing the Symposium Proceedings. Details of these third parties are available upon request.
- All international attendees’ contact details, which includes a full name and email address to verify attendance only, will be shared with the National Tourism Development Authority (Fáilte Ireland) having its principal office at 88-95 Amiens Street, Dublin 1 as a funder of the event for the purpose of verifying attendance at the event only, as required under Section 8 of the National Tourism Development Authority Act, 2003, and that this data will be retained for a maximum of 24 months. Thereafter, the details will be destroyed in a secure manner.
- We will keep your data until the Symposium events have finished, the Proceedings are published, and the meeting report to the IAU has been accepted. After this, when we no longer need your data for the business of the Symposium, your personal data will be deleted except where required to be retained for compliance with legislation such Revenue’s finance rules.

- You may request that we delete the personal data we hold, but this may involve cancelling your registration for the Symposium if your request comes before the Symposium is over.
